The Trainees Module – LMS


The LMS (Learning Management System) is used to upload training courses to the system, allocate courses to employees, and monitor training progress.


Trainees

Each trainee has a personal portal with a dashboard displaying their assigned courses and documents. When a trainee is added to the system, they receive an automated email with a link to complete their registration. Once registration is complete, they can commence their training. Trainees are notified by email when a course is allocated to them.


Courses, Lessons and Assessments

Training courses may be created using external authoring software or via the LMS’s built-in functionality, which allows PDF documents and videos to be uploaded as course content.


Lessons and assessments can be uploaded and included within courses.

Assessments can be undertaken at the end of a course to determine the trainee’s final score. Administrators can adjust the rules and sequencing of lessons and assessments.

Upon completing a course, the learner can generate a course completion certificate, which is stored within the system.


Assigning Trainees to Courses

Administrators can allocate trainees to existing courses via the ‘Courses’ or ‘People’ modules. They may also manually assign trainees through the ‘Trainee System Matrix’.

Courses may be linked to:

  1. Projects
  2. Locations
  3. User Roles
  4. Learning Paths


Example:

An employee has been assigned a task involving work at height. This task requires staff to be fully trained in safe practices to reduce the risk of incidents.


An administrator can assign a ‘Working at Height’ course to the employee using the following options:

  1. By assigning the course to a location, it becomes available to all employees based at that location.
  2. By assigning the course to a project, it becomes available to all employees allocated to that project.
  3. By assigning the course to a user role, it becomes available to all employees holding that role.


The course then appears in the employee’s dashboard within their portal. The employee completes the course by reviewing all materials and successfully passing the assessment. They can then generate a course completion certificate, which is saved in the system. The course status will then change from “In Progress” to “Completed”.


Trainee System Matrix

The Trainee System Matrix provides a quick overview, listing trainees and their respective courses along with the status of each course. This is displayed in a table format using rows and columns. Various icons represent different document statuses. Administrators can generate training certificates from this section.

The Matrix also includes filtering tools, allowing administrators to display specific information as required.


Training Effectiveness

Training effectiveness is recorded in the LMS by administrators, helping to assess each learner’s competencies and highlight any areas requiring improvement.


Trainee Compliance Documents

Compliance documents for trainees can be fully configured within the system, allowing client organisations to set their own requirements. Administrators can view document history, including all previously uploaded materials.


Types of Trainee Compliance Documents:

  1. General documents – Essential documentation required for work, such as permits, driving licences, or ID.
  2. Training documents – Automatically generated by the system once assigned training has been completed.

Each document can be marked as “Required” if it must be considered for compliance purposes.


Groups

Trainees can be provided with a unique key, allowing them to self-register to a designated group.
