How Do I Schedule Maintenance?


Maintenance Scheduling is put in place to ensure maintenance will be carried out. This involves implementing a specific time for maintenance to take place and includes details about the item that needs maintenance. This can help to create and maintain a safe working environment.


  • On the left side menu, go to 'Settings', and click 'Maintenance Scheduling'.
  • Click ‘+ New Maintenance Scheduling’.
  • Enter the Name, and Description.
  • Input the period months and days.
  • Select the Initial Report and Investigation Report from the dropdown options.


If you select the option ‘Is it necessary to complete an intervention?’:

  • A series of dropdown options will show which will allow you to enter all the relevant requirements to complete an intervention.


If you select ‘Is it necessary to complete a risk assessment?’:

  • You can choose if you want to select a Digitised Form that you have created for the risk assessment.


  • Choose the Machineries, and Inventory from the dropdown options.
  • When you select an Inventory, a bar will show indicating the amount of Stock Items present, and you can choose the amount of Stock Items you wish to apply by moving the bar.
  • Click 'Save & Submit'.


  • A field with a red asterisk beside it means it is required and you will not be able to complete your work without filling in these fields i.e. name and machineries.


  • A field without a red asterisk beside it means the field is not required, although it may be helpful to fill these out to complete your work i.e. description, period months and days, report forms and inventory.


This is required before you can add a Maintenance Scheduling:

  • Digitise an Initial Report/Investigation Report Form
  • Digitise a Form to be filled before/at the end of the intervention
  • Set up Permit Types
  • Set up Intervention Types
  • Set up Machineries
  • Set up Inventories
  • Set up Intervention Types


Other Options:

  • Under the dropdown options, you might see an option to add more, by clicking the ‘Here’ button highlighted, i.e. if you want to add more initial reports and investigation reports to the system - this will take you to the section you wish to add more of - be cautious that when you click this button, the details you have entered will be deleted.
