E-Permits Module Overview
The E-Permits module enables client companies to create and issue electronic permits to employees registered on the system. This module offers flexibility through a configurable workflow for the E-Permit approval process. It allows for the setup of various E-Permit Types, each incorporating different stages of approval. E-Permits can be tailored to align with an employee’s qualifications, ensuring that only suitably trained and competent individuals are authorised for specific roles that are selected when setting up E-Permits.
Steps can be added to E-Permit Types to define various stages, ensuring a thorough and structured approval process.
E-Permit forms can be digitised prior to adding steps using the Form Builder functionality.
The workflow steps that can be added to E-Permit types include:
- Application – the initial application for the E-Permit.
- Awaiting Approval - the application form has been submitted and is pending administrator approval.
- Signature – electronic signatures are required from all people involved in the work that is being carried out. The signature stage includes the option to print the permit without electronic signatures, and requiring physical (wet) signatures instead.
- In Progress (Forms to be filled) - forms that may be required to be completed while works are in progress to document additional information can be added at this stage
- Close out - the work has been completed and the E-Permit can now be closed. This stage is typically completed by a client representative, the permit issuer.
E-Permit Statuses
The E-Permit statuses coincide with the current stage of the E-Permit.
The statuses include:
- Application – the permit request has been created and the initial application form has not been submitted.
- Awaiting Approval – the application form has been submitted and is pending administrator approval.
- In Progress – works are ongoing. Forms may yet have to be filled.
- Pending Close Out - the work has been completed and is pending close-out approval.
- Suspended - the E-Permit has been revoked and works must be put on hold. Suspended permits cannot be closed.
- Closed - the works are completed and the permit issuer is satisfied that the work area is back to safe operating standards.
Requesting E-Permits
E-Permits can be requested by company administrators, subcontractor administrators, and employees for whom the “Permit Requestor” option in their Employee accounts has been selected.
When an e-permit is requested, an e-mail notification will be sent to administrators.
