How Do I Add a Maintenance Task?


Reactive Maintenance Tasks are put in place only when a machine has broken down. Machine breakdowns can be reported from the App or through the system. Once reported, Reactive Maintenance Tasks show in this section.


  • On the left side menu, click ‘Reactive Maintenances’.
  • Click ‘+ New Reactive Maintenance’.
  • Enter the name and description.
  • Select the due date – this will be the date the maintenance takes place.
  • Select the responsible from the dropdown options (you can select multiple).
  • Select the Reactive Maintenance type from the dropdown options (you can select multiple).
  • Tick the box if it is necessary to complete a simple risk assessment.
  • If you select the option ‘Is it necessary to complete an intervention’, a series of dropdown options will show which will allow you to enter all the relevant requirements to complete an intervention.
  • If you select ‘is it necessary to complete a risk assessment’, you can choose if you want to select a digitised form that you have created for the risk assessment.
  • Select the subcontractors, machineries, and inventory from the dropdown options (you can select multiple) - the subcontractor must be assigned to one or more locations to be able to use the system, as subcontractors need this information to set up employees or accept jobs, for example.
  • When you select an inventory, a bar will show indicating the amount of stock items present, and you can choose the amount of Stock Items you wish to apply by moving the bar.
  • Click 'Save & Submit'.


  • A field with a red asterisk beside it means it is required and you will not be able to complete your work without filling in these fields i.e. name, due date, responsible, type and machineries.


  • A field without a red asterisk beside it means the field is not required, although it may be helpful to fill these out to complete your work i.e. description, subcontractors and inventory.

  • Create the Reactive Maintenance Type
  • Set up Subcontractors
  • Set up Machineries
  • Set up Inventories
  • Set up Intervention Types
  • Set up Requirements
  • Set up Intervention Permit Types
  • Digitise a Form
