How can I make sure the relevant people receive notifications?
You may find that when you have set up a notification, not all recipients have received it. You can make sure the relevant people receive notifications by checking that the people in the recipient group you have selected have been correctly assigned to the group, location and project.
When adding a notification to the system:
- On the left column, go to 'Notifications'.
- Click 'Set Up Notification'.
- Enter the Notification Name and Description.
- Select the trigger from the dropdown option - this will trigger the notification to be sent to the group you select.
- Enter the Email Subject and Title.
- Enter the notification content in the Email Body text box.
- Select Recipients from the dropdown options - make sure the people in the recipient group you select are all correctly assigned. This also applies when selecting the Location Specific Notification and Project Specific Notification.
- Enter the CC and BCC in the text box.
- You can add attachment by clicking the plus icon or drag and drop the attachment to the white box.
- Click 'Save & Submit'.
For existing notifications:
- On the left column, go to 'Notifications'.
- Click on the relevant notification name to open the notification you want to modify.
- All the elements of that notification can be edited.
- To ensure the correct people receive the notification, look at the section 'Recipients'.
- Select Recipients from the dropdown options - make sure the people in the recipient group you select are all correctly assigned. This also applies when selecting the Location Specific Notification and Project Specific Notification.
- Enter the CC and BCC in the text box.
- You can add attachment by clicking the plus icon or drag and drop the attachment to the white box.
- Click 'Save & Submit'.
You can select the following recipients:
User Triggering the Event
Administrators - can add entities to the system, ensures compliance, implements procedures, can perform risk assessments, can document incidents and interventions and is responsible for ensure a safe working environment for people in the workplace.
Location Administrators - responsible for assigning users to locations.
Project Administrators - responsible for assigning users to projects.
Project Managers - responsible for organising and carrying out projects.
Project Supervisor - responsible for supervising employees assignee to projects.
Subcontractor Managers - responsible for managing subcontractors and reporting any issues.
Subcontractor Admin Users - responsible for organising and assigning subcontractors.
Equipment Owners - owners of plant and equipment. They can use the equipment and carry out inspections on the equipment.
Manual Input - manually input an email into the tex box.
HR Administrators - responsible for data on the system and making sure all details are up to date and all required information is present.
Auditors - responsible for conducting audits in the workplace.
- A field with a red asterisk beside it means it is required and you will not be able to complete your work without filling in these fields.
- A field without a red asterisk beside it means the field is not required, although it may be helpful to fill these out to complete your work.
This is required before you can send notifications:
- Set up people
- Set up administrators
- Set up subcontractors
