The Permits Module


A permit is a document that authorises employees and subcontractors to carry out a task. If an individual does not hold a permit required for a particular job, they are not permitted to undertake the task, as it may result in health and safety risks.


Setting Up Permits

The Permits module is integrated with the Jobs module. When creating a permit within the system, one of the dropdown options to be selected is the job associated with the permit. Upon selecting a job, the start and end dates, as well as the employee roles assigned to the job, are automatically populated in the permit.


Employee Compliance Requirements

The requirements linked to the selected employee roles are mandatory for those employees assigned to the permit.


Other Requirements

It is mandatory to tick the box confirming that "All contractors are inducted, and applicable training records are available on the CMS." This ensures that contractors possess the necessary training for the job associated with the permit, and that their training records are accessible.


If ‘Yes’ is selected next to the question "Will a Hazardous Energy Control (LOTO) be required during your activities?", a text box will appear for the relevant details to be entered.


When creating a permit, users can select a list of tasks, hazards, control measures, chemicals, and required PPE. At least one task must be completed in order to submit the SPA.


Permit Approval Forms

Permit types can be configured and applied to permits. When adding permit types, both pre- and post-approval forms may be included to support the necessary approval workflow.


Where configured, post-approval forms become available once the pre-approval forms have been completed and approved. These permit forms can be approved by administrators. Permit Approval forms can be configured using the Form Builder functionality.


Permit Approval form statuses include:

  1. Approved – the form has been approved by an administrator
  2. Awaiting Approval – the form is pending administrator approval
  3. Not Completed – the form has yet to be completed
  4. Rejected – the form has been declined by an administrator


Copying Existing Permits

The module includes functionality for administrators to duplicate existing permits. When a permit is copied, a new permit is created in the system, containing the same details as the selected original.
