The Sub-Subcontractor Module
A Sub-Subcontractor is a contractor hired by a subcontractor to carry out a specific portion of work.
The Sub-Subcontractor module is used to record and manage Sub-Subcontractor details and compliance requirements within the system. When a new Sub-Subcontractor is added, the system securely stores the entered information, which can later be accessed and edited by administrators.
Sub-Subcontractors are granted access to the system via a dedicated portal. Upon being added, they receive an automated notification with a link to complete their registration. This enables them to upload required compliance documents, manage their workforce, and access relevant projects and other system features.
Sub-Subcontractor Compliance
The system allows client companies to define specific compliance requirements that must be met by subcontractors and their Sub-Subcontractors before they are permitted to work on-site.
Ensuring Sub-Subcontractor compliance is essential to maintaining workplace health and safety, and minimising the risk of incidents.
To achieve compliance, Sub-Subcontractors must upload the required documents assigned to them. These documents must be valid (in date) and approved by an administrator.
If a Sub-Subcontractor fails to upload the required documents, or if the uploaded documents are rejected or have expired, their status will be shown as non-compliant in the system.
Administrators receive automatic notifications when:
These notifications help administrators monitor and manage compliance effectively.
Uploaded documents can then be reviewed and either approved or rejected by administrators.
Sub-Subcontractor Documents
Compliance document requirements are fully configurable within the system, allowing client companies to define and tailor them according to their specific needs. Administrators can view each Sub-Subcontractor's document history, including all previous uploads.
Sub-Subcontractor compliance documents may include:
For each document, administrators can specify whether it is to be considered for compliance ("Required") or not.
Sub-Subcontractor System Matrix
The Sub-Subcontractor System Matrix offers a clear overview of each Sub-Subcontractor’s compliance status, as well as the state of their uploaded documents. The data is displayed in a structured grid format (rows and columns).
From the Matrix view, administrators can approve or reject documents directly and apply filters to narrow down results based on specific criteria. This streamlines the compliance management process and enhances visibility across multiple subcontractors.
