Preventative Maintenance Module Overview


The Preventative Maintenance Module focuses on tasks designed to prevent machinery breakdowns before they occur. By carrying out routine checks, replacing worn parts, and addressing minor issues, preventative maintenance helps ensure that machinery continues to function smoothly, reduces downtime, and minimises the risk of accidents caused by faulty equipment.

Setting Up Preventative Maintenance

When setting up a preventative maintenance task, the system provides the option to link the following actions to the maintenance process:

  1. Simple Risk Assessments: If necessary, the task can be linked to a Simple Risk Assessment. The maintenance is shown in the Simple Risk Assessments module, and the risk assessment must be completed before proceeding.

  1. Interventions: If an intervention is required as part of the maintenance, it appears in the Interventions module, and the intervention must be completed before the maintenance can proceed.

  1. Risk Assessment: If a Risk Assessment is required, it is shown in the Risk Assessments module, ensuring that the proper safety protocols are followed.

Forms and Documentation

  1. Initial Preventative Maintenance Form: Once the preventative maintenance begins, a manager can fill out the initial maintenance form that corresponds to the specific type of maintenance. This form captures details about the task and any required actions.

  1. Post-Maintenance Investigation Form: After the preventative maintenance is completed, a post-maintenance investigation form is filled out to document the work performed, any issues discovered, and any recommendations for future maintenance.

Preventative maintenance forms can be digitised using the Form Builder functionality, making documentation easier to complete and manage.


Machine Downtime & Repair Time

Upon completion of the preventative maintenance task, the following times are recorded:

  1. Machine Downtime: The time that the machinery was non-operational before the maintenance task began.

  1. Time for Repair: The time taken to complete the preventative maintenance and restore the machinery to full functionality.

These times help assess the impact of maintenance on operations and identify opportunities for improving maintenance efficiency.

Preventative Maintenance Statuses

The status of each preventative maintenance task is tracked to provide real-time updates on its progress:

  1. Not Started: The preventative maintenance task has not yet begun.
  2. Started: The task is currently in progress.
  3. Finished: The preventative maintenance task has been completed, and the machine is restored to operational status.
