The People Module – LMS


The LMS (Learning Management System) enables organisations to upload training courses, assign them to employees, and monitor progress.


Trainees

Each trainee is provided with a personal portal that includes a Dashboard displaying their assigned courses and documents. Upon being added to the system, the trainee receives an automated email with a registration link. Once registered, they may begin their training. Email notifications are also sent when new courses are assigned.


Courses, Lessons and Assessments

Training courses can be developed using either external authoring tools or the LMS's built-in functionality, which supports the upload of PDF documents and videos to create course content.

Lessons and assessments may be uploaded and linked to courses.

Assessments, typically completed at the end of a course, determine the trainee's final result. Administrators have the flexibility to customise the structure, sequence, and rules governing lessons and assessments.


Courses can be linked to:

  1. Locations
  2. Projects
  3. User Roles

Upon successful course completion, trainees can generate a Course Completion Certificate, which is stored securely within the system.


Assigning Trainees to Courses

Courses can be assigned via the ‘Courses’ and ‘People’ modules. Administrators also have the ability to manually assign trainees using the Trainee System Matrix.


Courses can be assigned to:

  1. Projects
  2. Locations
  3. User Roles
  4. Learning Paths


Example:

An employee is assigned to a job requiring work at height. To meet safety requirements, the administrator assigns the Working at Heights training course to the employee.


This can be done by:

  1. Assigning the course to the location – all employees at that location gain access.
  2. Assigning it to the relevant project – employees linked to the project receive the course.
  3. Assigning it to a user role – all employees in that role gain access.
  4. Assigning it directly to the trainee – the course appears in their dashboard.


The trainee completes the course by reviewing the course materials and passing the final assessment. Once complete, they may download a Course Completion Certificate, and their course status will update from "In Progress" to "Completed".


Trainee System Matrix

The Trainee System Matrix provides a visual overview of trainees, their assigned courses, and progress status. Information is displayed in a grid format (rows and columns), with icons used to represent document and course statuses.

Administrators can filter and sort data and generate trainee certificates in this section.


Training Effectiveness

Training effectiveness is recorded by administrators within the LMS. This feature helps assess the trainee’s competencies and highlights areas requiring further development.


Trainee Compliance Documents

Trainee compliance documentation can be customised within the system, allowing organisations to define their own compliance standards. Document history is stored and viewable by administrators.


Types of Trainee Documents:

  1. General Documents – e.g. permits, driving licences, or forms of ID
  2. Training Documents – generated upon successful course completion

Each document may be marked as “Required” or “Not Required” for compliance purposes.


Groups

Trainees may be assigned to specific groups using a unique key. This key enables them to self-register into the designated group, streamlining onboarding for team-based training assignments.
