The Plant Module

The Plant module includes all plant/equipment that have been added to the system and the details. Administrators can add plant and equipment to the system and carry out equipment inspections.

When setting up equipment on the system, the equipment type, name and tag number are required. More details can be added to existing equipment, such as the equipment owner, expiry date, location, project and subcontractor.

Inspections

It is important to carry out equipment inspections to ensure they are safe to use. This can help prevent accidents that are caused by using unsafe equipment. Administrators, employees and the subcontractor that is assigned to the equipment can carry out equipment inspections. Inspection forms are added to equipment when selecting the equipment type. Employees are restricted to carry out inspections using the app only.

Inspection forms can be digitised in the ‘Form Builder’ module.

Equipment Status

The status of equipment is dependent on inspection results.

Equipment statuses include:

  • Safe to use – the equipment has been inspected and is safe to use.

  • Not safe to use – the equipment has been inspected and is not safe to use as it could cause accidents. This status is also automatically assigned to newly added equipment that hasn’t been inspected and the status of equipment will revert to “Not safe to use” if an inspection was missed.

  • Not in use – the equipment is no longer being used.

  • Expired – Some pieces of equipment, such as harnesses, lanyards or hard hats carry an expiry date. This date can be recorded when creating the equipment. Equipment, which has reached its expired date is shown as “expired” in the list.

  • Removed from service – the equipment has been removed as it may no longer be working.

Equipment Libraries

The system includes the Equipment Libraries functionality, which allows different equipment types to be configured. This functionality is found in the Settings menu.

The Equipment Library includes:

  • Equipment types – helps categorise equipment. Forms can be added to equipment types and are then applied to equipment to carry out inspections.

  • Equipment record types – added to equipment and allows records to be uploaded, such as photo or video records.

  • Equipment manufacturers – the company that makes the equipment.

Corrective Actions

Corrective actions are implemented to identify the root cause of unsafe equipment.

Type of Corrective Actions (Immediate/Long Term)

There are two types of corrective actions that can be implemented:

Immediate - steps taken to quickly resolve the issue

Long Term - steps taken to improve overall processes to prevent recurrence

Adding corrective actions includes:

  • Documenting the issue - include the problem description and any relevant details
  • Identifying the root cause - what caused the issue
  • Implementing action(s) that is required to solve the issue

When implementing action(s) to a corrective action, it can be helpful to implement SMART actions:

  • Specific - enter exactly what needs to be done to resolve the issue
  • Measurable - include what is needed to track progress of actions being taken
  • Achievable - set a realistic but effective goal
  • Relevant - make sure the actions align with the objectives
  • Time - Bound - set a time frame to ensure the actions are completed quickly
