Learn The Basics

The Employee Check Sheets Module

An Employee Check Sheet is a document that includes details about employees’ safety practices, tasks and performance.

Examples of employee check sheets:

  • Safety Check Sheet
  • Task Check Sheet
  • Performance Check Sheet

Creating Employee Check Sheet Templates

Forms can be digitised using the ‘Form Builder’ module. They can then be used to create an Employee Check Sheet Type, which can be filled by Employees in the system.

Assigning Employee Check Sheets

Employee Check Sheets can be assigned by administrators or they can be self-assigned by an employee.

Existing Employee Check Sheets can be accessed and filled by employees. They can be reviewed and signed by administrators.

Employees can access and fill their assigned Employee Check Sheets by logging into their portal.

Filling out Employee Check Sheets

When initially adding an employee check sheet, the system requires basic information, such as the type, date, location and the project. When this information is added, users can fill out the forms that were applied to the employee check sheet type.

Employee Check Sheet Status

The statuses of Employee Check Sheets are shown on the main page of the Employee Check Sheets module.

The statuses that show are:

  • Not completed – forms need to be filled by either an administrator or the assigned employee.
  • Completed – the required forms have been filled.
  • Missing admin signatures – an administrator needs to sign the form.

Automatic Scheduling

The system provides the option for automatic scheduling of Employee Check Sheets. When this option is selected, new employee check sheets are automatically created, depending on the period months and days that are entered when creating Employee Check Sheet Types.

Employee Check Sheet Signatures

It is possible to select whether an administrator signature and/or assigned user signature should be taken into account for form completion (“Required”) or not. This option can be found in the ‘Employee Check Sheet Types’ functionality.

The ‘Signatures’ tool can also be used when creating Employee Check Sheet Forms.

Employee Check Sheet History

The system documents the history of employee check sheets which can be accessed by administrators.

Corrective Actions

Corrective actions are implemented to identify the root cause of issues and can help prevent incidents from occurring.

Type of Corrective Actions (Immediate/Long Term)

There are two types of corrective actions that can be implemented:

Immediate - steps taken to quickly resolve the issue

Long Term - steps taken to improve overall processes to prevent recurrence

Adding corrective actions includes:

  • Documenting the issue - include the problem description and any relevant details
  • Identifying the root cause - what caused the issue
  • Implementing action(s) that is required to solve the issue

When implementing action(s) to a corrective action, it can be helpful to implement SMART actions:

  • Specific - enter exactly what needs to be done to resolve the issue
  • Measurable - include what is needed to track progress of actions being taken
  • Achievable - set a realistic but effective goal
  • Relevant - make sure the actions align with the objectives
  • Time - Bound - set a time frame to ensure the actions are completed quickly
