The Permits Module


A permit is a document that authorises employees and subcontractors to carry out a job. If a person does not have a Permit that is required for a job, they cannot carry out the job as it can cause health and safety issues. 



Setting up Permits

The Permits module is linked to the Jobs module. When adding a permit to the system, one of the dropdown options that is selected is the job that is relevant to the permit. When a job is selected, the start and finish date and employee roles that are assigned to the job are automatically added to the permit. 


Employee Compliance Requirements

The requirements of the employee roles that are selected are mandatory for the employees assigned to the permit.


Other Requirements

It is a requirement to tick the box that states ‘All contractors are inducted, and applicable training records are available on the CMS’. This is to ensure contractors have the required training for the job related to the permit and their training records are accessible.


By ticking ‘Yes’ beside the question ‘During your activities will a Hazardous Energy Control (LOTO) be required to complete your task’, a text box appears below, where the details can be added.


When adding a permit to the system, the list of steps, hazards, controls, chemicals and required PPE can be selected. At least one step must be completed to be able to submit the SPA.



Permit Approval Forms

Permit types can be configured and added to permits. When adding permit types, post- and pre-approval forms may be added to create the necessary permit workflow. 


If configured, post-approval forms appear and can be filled once the pre-approval forms are filled and approved. Permit forms can be approved by administrators. Permit Approval forms can be configured using the Form Builder functionality.


The statuses that show for Permit Approval forms are:

  • Approved – the form has been approved by an administrator
  • Awaiting Approval – the form needs to be approved by an administrator
  • Not Completed – the form needs to be filled
  • Rejected – the form was rejected by an administrator



Copying Old Permits

This module includes a functionality that allows an administrator to copy existing permits. When an existing permit is copied, a permit is added to the system which includes the same details as the permit that is selected.
