Why Can't I See the Contractor Selection Field When Creating a Permit?


If the contractor selection field is not visible when attempting to create a permit, this is usually related to the user role being used at the time of login.


In the system, users can sometimes have multiple roles assigned to their account. For example, a person may have one role as an Employee and another as a Project Administrator or Department Administrator. Each role provides different levels of visibility and access to system data.


When a user is logged in as an Employee, their access is restricted to the subcontractor or organisation they belong to. This means they will not be able to view or select other subcontractors in the permit creation process. As a result, the contractor selection field may not appear or may not provide the required options to proceed.


However, when logged in with a Project Administrator or Department Administrator role, the user has broader visibility within the system. In this role, they are able to view and select from all subcontractors associated with the project or department, which allows the permit creation process to continue normally.


It is also important to note that only compliant subcontractors will appear in the contractor selection list when creating permits. If a subcontractor is non-compliant, they will not be visible or selectable in the permit form. This is to ensure that only subcontractors who meet all compliance requirements can participate in permitted work activities.


If you are unable to see a contractor while creating a permit, check that:

  1. You are logged in with the correct administrative role.
  2. The subcontractor is compliant and has no expired or missing requirements.
  3. The subcontractor is assigned to the relevant project or department.
