If Project Administrators are completing Toolbox Talks in the LMS and can see subcontractors in the sign-off list, this is typically due to how the talks are currently being assigned. When Toolbox Talks are assigned by location or area alone, all workers linked to that location - including contractors - may be included in the requirement.
If contractors remain assigned to the location, they may automatically reappear in the Toolbox Talk requirement. This can also lead to unintended compliance issues, as contractors may become marked as non-compliant for Toolbox Talks that do not apply to them. In turn, this may prevent them from being added to permits or completing other system processes.
The recommended solution is to use Employee Roles to manage Toolbox Talk assignments. Create a separate role for each area where Toolbox Talks need to be assigned. Then, assign only your direct employees within that area to the relevant role. When distributing Toolbox Talks, assign them to the role rather than the location.
Using roles ensures that only direct employees receive the Toolbox Talk requirement, while contractor employees assigned to the same location are excluded.
