Companies Module Overview

The Companies Module is designed to store and manage company-specific information and compliance documentation within the system. When a new company is added, their details are stored in the system, and administrators can access and edit this information as needed.

Companies themselves can access the system through a separate portal, where they can upload compliance documents, manage their employees, and access various system features.

Company Compliance

Maintaining company compliance is crucial to ensure that health and safety standards are upheld and to reduce the risk of accidents in the workplace. The system allows administrators to set specific compliance requirements that companies must meet.

For a company to be considered compliant in the system, they must:

  1. Upload required documents: Companies must upload all required documents assigned to them.
  2. Documents must be current: Documents should be valid and up to date. If a document is expired or rejected, the company will be marked as non-compliant.

Administrators are notified automatically when:

  1. A company uploads a document
  2. A document has expired, been updated, or deleted

This helps administrators keep track of each company’s compliance status.

Once documents are uploaded, administrators can approve or reject them, which determines the company’s compliance status.

Company Documents

The system allows for full configuration of compliance documents, enabling a variety of document types to be used for compliance purposes. These documents include:

  1. SOP (Standard Operating Procedure): Documents that provide detailed instructions on carrying out specific tasks.
  2. Reference Document: Documents containing company policies, procedures, and other important reference materials.
  3. Form: Documents that need to be completed by employees or submitted as acknowledgment.
  4. Record: Documents that serve as a record of completed tasks, compliance activities, or audits.

For each document, administrators can specify whether it should be considered required for compliance purposes.

Company System Matrix

The Company System Matrix provides administrators with a quick overview of each company’s compliance status and the status of their uploaded documents.

The matrix is displayed in rows and columns, with key information such as:

  1. Document status: Whether a document is approved, pending approval, expired, or rejected.
  2. Filtering options: Administrators can filter the data by various criteria to quickly locate the information they need.

From the Matrix view, administrators can approve or reject documents directly, streamlining the compliance process.
